This position is the 'first impression' many callers and guests interact with in our Jefferson City office location making them a key employee of the organization. This person serves as our office host, greeting guests, clients and callers in a warm, friendly, welcoming manner. In addition, this individual is responsible for day-to-day operations of our Jefferson City office location, including overseeing vendor contracts for cleaning, beverage / snack services, copier/fax machines, pest control, building maintenance and more. The functions of this role require a person to be physically present in the office.  

Key Responsibilities

  • Coordinates and executes a large number of day-to-day tasks related to general operations for an office of 125 employees, including but not limited to office supplies, repairs, security badge system, and maintenance.
  • Shops for and purchases food and beverages for breakroom, stocks various food items, manages inventory and orders product when appropriate, including monitoring expiration dates. Clean and troubleshoot beverage machines when needed.
  • Oversees vendor contracts for breakroom, office cleaning, maintenance, recycling, copier/fax machines, postage and folding machines, safety equipment, and lawn care.
  • Plans and handles logistics for a variety of company events, including holiday parties, company functions, and client events.
  • Greets callers and in-person guests in a professional manner to direct them to the appropriate person or service needed and ensure they are accompanied at all times while in the office.
  • Serves as part of the building security group by monitoring door cameras and unlocking all outside doors remotely as appropriate to allow guests in, while safeguarding against unwanted solicitors and unwanted guests.
  • Provides executive assistant support to executive staff as needed.

Job Requirements

  • High School diploma or GED
  • 2+ years of work experience in a professional office environment providing receptionist and host job duties, including vendor services management
  • Ability to use Microsoft Word, Excel, Outlook  and quickly  learn other programs.
  • A passion for hosting and serving people.
  • Good verbal, written, and interpersonal communication skills with the ability to communicate across all levels of an organization.
  • Ability to represent the company on the phone and in person in a friendly, professional manner.
  • Ability to establish positive and productive working relationships across the company and with vendors.
  • Ability to work independently and adapt to quickly changing priorities in a fast
  • Highly developed time management and organization skills, with the capability of handling a variety of tasks simultaneously while completing company objectives and deadlines
  • Ability to implement cost-effective solutions.
