As a member of CLC’s Legal Department, the Administrative Assistant will support our SVP, General Counsel and be the primary point of contact for internal and external clients on all matters pertaining to the Legal Team. The person in this role will have the opportunity to serve as a liaison to other senior leaders and senior management teams, and oversee special projects. This person may work independently or with other members of the Legal Team on projects, from conception to completion, must be able to work under pressure at times and be able to handle a wide variety of activities and confidential matters with discretion. This person must be extremely organized, deadline oriented, and have a strong eye for detail.

Responsibilities:

  • General Administrative and Clerical Support
    • Calendar Management
      • Coordinate multiple calendars to schedule conference calls and meetings
      • Draft and send agendas for meetings, including weekly Legal Team Meeting
      • Book rooms for meetings and trainings and ensure that the A/V works
      • Track and monitor Calendar deadlines via Monday.com and MS Outlook
    • Travel Coordination
      • Arrange travel logistics for Legal team, including airfare, hotels, rental cars, etc.
    • Invoicing
      • Coordinate with attorneys to process all legal invoices
      • Coordinate with paralegals to process damages/restitution checks
      • Upload all processed invoices to master tracker
    • Prepare expense reports for Legal Team
    • Prepare labels/letters via mail merge for Partnerships Team for annual and quarterly reports
    • Draft correspondence, maintain electronic and hardcopies of files, and coordinate other administrative matters and general office tasks
    • Handle other various tasks as and when assigned
  • Legal Support
    • Field legal calls from staff and reception to transfer to the appropriate legal handler
    • Coordinate and track the execution status of all contracts for electronic signature
    • Upload all executed contracts to the Legal Drive
    • Disseminate Legal Newsletter to clients and staff
    • Allocate and assign weekly trademark applications in the Official Gazette to attorneys for review
    • Assist attorneys to ensure online enforcement and cease and desist files are complete and uploaded to in our proprietary tracking system Brand Manager 360
    • Support attorneys and Partnerships Team in responding to requests for enforcement statistics from Brand Manager 360
    • Prepare enforcement packages and letters for investigators providing gameday enforcement activities; Provide summaries of enforcement activities for universities
    • Upload Customs notices and related materials to Brand Manager 360
  • CAPS (Coalition to Advance the Protection of Sports Logos) Support
    • Enter and update all CLC-related CAPS matters in Brand Manager 360
    • Maintain CAPS litigation status tracker
    • Admin support for attorneys serving on CAPS committees

Qualifications:

  • 2-4 years of experience as an executive assistant or other relevant administrative support experience
  • Bachelor's degree strongly desired or equivalent work experience
  • In-depth understanding of entire MS Office suite
  • Ability to organize a daily workload by priorities
  • Must be able to meet deadlines in a fast-paced quickly changing environment
  • A proactive approach to problem-solving with strong decision-making skills
  • Professional level verbal and written communications skills
